1. Introduction
These Terms & Conditions ("Terms") govern the provision of all services by EasyLink Executive Mobility ("EasyLink", "we", "us", "our") to any client ("you", "your"). By booking a service — by phone, WhatsApp, email, our website, or any partner channel — you agree to be bound by these Terms.
These Terms apply alongside our Privacy Policy. Where a specific written contract exists between EasyLink and a corporate or institutional client, that contract takes precedence for the matters it covers.
2. Definitions
- "Service" means any transport, chauffeur, vehicle hire, tour, safari, transfer or corporate mobility service provided by EasyLink
- "Booking" means a confirmed reservation of a Service
- "Client" means the person or organisation making the Booking
- "Passenger" means any person travelling under the Booking
- "Chauffeur" means a driver assigned by EasyLink to a Booking
- "Vehicle" means any car, SUV, van, minibus or Land Cruiser provided by EasyLink
3. Bookings
3.1 Making a Booking
A Booking is confirmed when EasyLink has acknowledged the request in writing (email, WhatsApp or through our booking system) and, where applicable, when any required deposit has been received.
3.2 Accuracy of Information
You are responsible for providing accurate booking details — including pickup and drop-off locations, dates, times, passenger numbers and any special requirements. EasyLink is not liable for issues arising from inaccurate information provided at the time of booking.
3.3 Booking on Behalf of Others
If you book on behalf of a Passenger, you confirm that you have authority to do so and that the Passenger is aware of and accepts these Terms.
3.4 Substitution of Vehicles
While we make every effort to provide the specific vehicle category booked, EasyLink reserves the right to substitute a comparable or higher-category vehicle where operational circumstances require it, at no additional cost to you.
4. Payments & Pricing
4.1 Pricing
All prices are quoted in Kenya Shillings (KES) or US Dollars (USD) and are confirmed in writing before the Service. For transport outside Nairobi, multi-day engagements and safaris, a written quote itemising all costs is provided.
4.2 Payment Methods
We accept M-Pesa, bank transfer and cash (KES or USD). Corporate and institutional clients may be approved for monthly invoicing with agreed credit terms.
4.3 Deposits
Most bookings do not require a deposit. For multi-day safaris, long-term hire and corporate contracts, a deposit may be required to secure vehicles, lodges or drivers. Where a deposit applies, it will be clearly stated in your quote.
4.4 Price Changes
Once a Booking is confirmed, the agreed price is fixed for that Booking. Prices are only subject to change where you request a material change to the itinerary, dates or vehicle category.
5. Cancellations & Changes
5.1 Standard Cancellations
Cancellations made at least 12 hours before the scheduled pickup are free of charge. Cancellations made with less than 12 hours' notice may incur a cancellation fee of up to 50% of the agreed price.
5.2 Multi-Day Safaris & Long-Term Hire
Cancellation terms for multi-day safaris, long-term hire and corporate contracts depend on the specific commitments made (lodges, vehicles, drivers). These terms will be detailed in the written confirmation for each Booking.
5.3 Changes to Bookings
Minor changes (time, pickup point, passenger count) can usually be accommodated at no cost with reasonable notice. Significant changes (different dates, different vehicle class) may result in a revised price.
5.4 No-Show
If the Passenger is not present at the agreed pickup point within a reasonable waiting time (typically 30 minutes for city pickups, 60 minutes for airport pickups after flight arrival), the Booking may be treated as a no-show and charged in full.
6. Client Obligations
You agree to:
- Provide accurate booking information
- Ensure Passengers are ready at the agreed pickup time
- Treat our Chauffeurs and Vehicles with respect
- Not consume alcohol, smoke, or use illegal substances in our Vehicles
- Not carry illegal goods or dangerous items in our Vehicles
- Comply with all applicable Kenyan laws during your journey
- Be responsible for any damage caused to Vehicles by you or your Passengers (beyond normal wear and tear)
EasyLink reserves the right to refuse or terminate a Service if a Client or Passenger behaves in a way that endangers the Chauffeur, other Passengers, the Vehicle or the public.
7. Service Standards
EasyLink commits to:
- Providing clean, well-maintained and fully insured Vehicles
- Assigning vetted, licensed and experienced Chauffeurs
- Arriving on time for all scheduled pickups
- Communicating proactively in the event of any delay or change
- Handling your personal information in accordance with our Privacy Policy
While we strive for perfection, traffic, weather and other factors outside our control can occasionally affect timing. Where a delay is our fault, we will make reasonable efforts to remedy the situation.
8. Liability
8.1 Our Liability
EasyLink is liable for direct loss or damage caused by our negligence in the provision of a Service, up to the limits set by Kenyan law. We are not liable for indirect or consequential losses.
8.2 Your Liability
You are liable for any loss or damage caused to an EasyLink Vehicle by you or your Passengers (beyond normal wear and tear), and for any fines or penalties arising from unlawful acts during the Service.
8.3 Personal Belongings
Please ensure you take all personal belongings with you when leaving the Vehicle. EasyLink is not responsible for items left in Vehicles, though we will make reasonable efforts to locate and return lost items.
8.4 Third-Party Services
Where EasyLink arranges third-party services (e.g. accommodation, park fees), we do so as your agent. We are not liable for the acts or omissions of third-party providers.
9. Force Majeure
EasyLink is not liable for failure or delay in performing a Service where such failure or delay is caused by events outside our reasonable control — including but not limited to natural disasters, extreme weather, road closures, strikes, government action, civil unrest or public health emergencies. In such cases, we will make reasonable efforts to offer an alternative or reschedule without penalty.
